ChangeCamp Ottawa Budget

We need to identify all of the expenses associated with ChangeCampOttawa, and how each of these items will be paid.

Online Community Engagement (prior to the event)

http://www.pathable.com offer:

  • fee of $500 for setup and hosting of Pathable for the event for six months for up to 150 people
  • setup will be basic implementation into Event Bright and logo banner on the site
  • any set up of the calendar schedule will be via a spreadsheet you would forward in a format that we specify
  • inclusion of Pathable as a Sponsor within the event site and any printed or website materials for the event
  • City of Ottawa to support a Pathable case study through a survey of attendees and follow-up with Pathable marketing
  • set up and launch of the site to occur between 4/16 and 4/24
  • invoice for immediate payment to occur following acceptance of this email of term

City Hall Venue (sponsored by City of Ottawa) includes:

  • Facility Rental
  • A/V equipment rental (LCD projector)
  • Technician
  • Security
  • Cleaning
  • Power bars (Mark to find out how many we can get)

Wifi 

  • Atria Network supplied 180 free username and passwords

Catering (sponsored by digitalOttawa)

  • Continental buffet breakfast, juice & coffee
  • Cold lunch buffet, juice & pop
    • Any special requests?

  • easels, flipcharts, markers, etc (registration group will get an estimate for all of this)
  • Rob will find 12-15 easels

Visual Interpretation

  • visual repretation of the event (cost ~ $1000)

After-event party?

  • UPDATE: PUB.101 (www.pub101.com) second floor is now booked for Saturday May 16th, starting at 7pm. - Will look into getting sponsors for after-party. (Marquis)

Charity

  • Completed the registration form for Ottawa Food Bank.  Waiting for contact
  • Requested 3 boxes (50 items each), 3 posters. (R. Giggey)
